Let’s face it—most of us don’t give much thought to the office gadgets we use daily. As long as they work, we keep plugging away. But what if some of your most familiar tools are actually being misused or neglected in ways that waste time, money, and even compromise efficiency?

Take printers, for example. You might assume they’re maintenance-free, but even laser models require some care. A common question people ask is: do laser printer cartridges dry out? The answer depends on how—and where—you store them. Improper handling can lead to clumping, poor print quality, and early replacement, even if the cartridge isn’t technically empty.

1. Printers: Not Just “Plug and Print”

Printers are one of the most commonly misused office gadgets. Whether you have a laser or inkjet model, common mistakes include:

  • Ignoring firmware updates

  • Using incompatible or expired toner

  • Letting cartridges sit unused for months

Even laser printers—which are generally low-maintenance—can experience toner clumping or drying out in extreme environments. Toner should be stored flat, in a cool, dry area, and the printer should be used regularly to maintain optimal condition. If your prints start fading or streaking, it’s not always a sign of low toner—sometimes it’s simply due to poor handling or long-term storage. To extend the life of your laptop battery and charger, make sure:

While they’re more convenient than their wired counterparts, wireless peripherals are often left powered on indefinitely, draining batteries quickly.

To get more life out of your devices:

  • Replace disposable batteries with rechargeables

5. Desk Lamps: LED Isn’t Always Efficient—Unless You Use It Right

  • Keeping the lamp on when not needed still uses energy

6. Air Purifiers and Humidifiers: Maintenance Matters

These office wellness gadgets are often installed with great intentions—and then forgotten. Over time, uncleaned filters and tanks can breed mold or distribute allergens. The EPA recommends changing HEPA filters every 3–6 months and cleaning humidifiers weekly. If yours smells weird or blows musty air, it’s time to give it a deep clean or replace the filter.

7. Headsets: Treat Them Like the Tools They Are

If your team uses wired or wireless headsets for calls, chances are someone’s is taped together with electrical wire or stuck in “mic always muted” mode. Headsets are work tools—treat them accordingly:

  • Store them on dedicated holders

  • Clean the ear pads with alcohol wipes

  • Unplug them after use (or turn off Bluetooth to save power)

Better yet, invest in a headset case for transport—especially if you move between desks or workspaces. We rely on office tech to do our best work—but that doesn’t mean we always use it wisely. By understanding the quirks and limitations of everyday gadgets, we can extend their lifespan, cut down on waste, and even improve performance.

Start small: check your surge strips, clean your air purifier, and yes—double-check that toner cartridge that’s been sitting around for months. A few changes now can save you time, money, and tech headaches later.
